How can you set up the link with Microsoft Graph API?

FlexWhere requires one-time permission to set up the link with Microsoft and access the Active Directory server for the following data:

  • Available meeting rooms
  • The agenda (calendar) of the above meeting rooms

Step 1: Connecting

In the control center, enable the ‘Microsoft Graph API’ switch and then click ‘connect to Microsoft Graph’.

Tip: It is best to log in with “service account” (e.g. flexwhere@bedrijfsnaam.nl) as this access token will be used for a long time to link data with Flexwhere.

For your information:

The access token is encrypted and stored in a secure environment and cannot be accessed by third parties.

Consent may be revoked at any time through any of the procedures described in this link.

Step 2: Delegate

To access the meeting room agenda, flexwhere-sync@dutchview.com must be added as a “delegate” to the meeting rooms.

  1. Log in to the Exchange management environment.
  2. Go to the meeting room settings (Left menu: Recipients -> Resources).
  3. Open the meeting room
  4. Add the system user (flexwhere-sync@dutchview.com) as a delegate for the meeting room (Read and manage, Full Access).
  5. Save the changes and repeat for all meeting rooms to become visible within Flexwhere.

Now the token should have access to the meeting room calendar and be able to perform the required functionalities.

Step 3: Linking the spaces

Finally, the meeting rooms need to be mapped with the rooms in FlexWhere. This can be done by clicking the appropriate meeting room on the floor plan and entering the appropriate names in the pop-up under attributes/labels.
